Public exhibitions create a critical link between an audience and the exhibitor, stimulating thought, emotion and action in both parties and in unlimited areas.
Thanks to the generous support of New Zealand Steel, the Gallery in Franklin: The Centre provides a flexible exhibition space with international-standard facilities. FACT hires the Gallery, in portions or as a whole, to artists, art groups, and cultural, historical, educational or commercial organizations. These displays are alternated with FACT's own exhibition programme, including an annual competition, festivals and special events.

Franklin: The Centre is located at 12 Massey Avenue, the main thoroughfare in Pukekohe. Next door is Pukekohe’s War Memorial Town Hall, while shops and restaurants are within easy walking distance.

Planning an Exhibition
If you are considering exhibiting in the New Zealand Steel Gallery, please allow sufficient time to make and action effective plans. Important steps include, but are not limited to, the following:

Proposing an Exhibition
All Gallery hires must be commenced at least 3 months in advance with an Exhibition Proposal, which will be considered by panel. Please read this entire Hiring Information document before preparing a proposal with the following details:
Name and contact details.
- Description of the proposed exhibition – title, theme, contents, special features, etc. For art exhibitions, all works exhibited must be originals and a majority of works exhibited (80% minimum) should be for sale.
- Desired dates of exhibition. Bookings must be for at least 2 weeks.
- Gallery space required (whole, half, quarter)
- Individuals (several individuals exhibiting together but not as a club should submit the following for each exhibitor): C.V. of artistic career, list of past exhibitions, pictures of current work, ideally of work to be included in this exhibition
- Clubs/Institutions/Businesses: background information about your organisation, details of past exhibitions (include images if possible), and samples of current work/displays, ideally of work to be included in this exhibition. Please also provide contact details for your media/promotional organiser.
- Any other relevant information, for promotional purposes.

You will be notified within two weeks of the panel’s decision. FACT reserves the right to decline proposals which may lack quality in artwork and/or exhibition planning. If individuals would benefit from a group show with similar artists this may be offered as an alternative.
If your proposal is accepted, you will be invited to complete the Gallery Booking Form within this document and pay a deposit.
Promotional Ideas for Exhibitors
Promotion is a critical part of exhibition planning. Measures in addition to the services provided by FACT are highly recommended and are the responsibility of the hirer, unless contracted to FACT at the time of gallery booking.
Ask yourself why you are exhibiting your work and what your measure of success is – your target audience should then become apparent. (This may be friends and family, dealer galleries, art critiques, your collectors, general public, etc.) A successful exhibition does not necessarily have to result in a large number of sales. Public exposure, feedback and constructive criticism are also important parts of the exhibiting process.
Create an interesting and eye-catching flyer and distribute it anywhere there are people who might be interested: cafes, on the streets, libraries, universities, family and friends, schools and community places.
Take advantage of all free advertising that you can use, such as these websites/email contacts:
Find out the contacts for your local papers and approach them with well written information about your upcoming exhibition. If you are not confident with this, ask a friend or FACT.
If your main objective is sales and getting your work out to the wider public, identify how you can do this. Try putting ads in newspapers, send invitations to businesses around the area, set up a website, offer your work for display in restaurants/hotels, etc. There are many other possibilities.
If your objective is to get your artwork into dealer galleries, identify which galleries your work would suit and make appointments to see the managers. Show them a brief portfolio and personally invite them to your exhibition.
Make sure you have a visitor’s book at your exhibition as all visitors are potential buyers. Keep their details on a database and e-mail them your next exhibition dates. If anyone mentions wanting a purchased work, contact them and offer a commissioned work in the same vein.
Conditions of Hire
Please read the following Conditions carefully and keep them for future reference. A signed Booking Form indicates your agreement to abide by all Conditions.
“Exhibitor” is defined as the artist(s) or other official party in charge of organising and paying for the exhibition.
- Responsibilities: Exhibition organisation, promotion, installation, take-down, and insurance are the sole responsibility of the exhibitor. FACT staff may be available to provide some or all of these services, at additional cost, if contracted at time of booking.
- Installation: Generally exhibitions are hung on Thursday afternoons, Friday mornings or Friday afternoons. FACT will insure that the gallery is clean and tidy for installation.
Displays must be hung with nails, screws, mirror plates, picture hooks, or other hardware attached to the walls. Blue Tac, double-sided tape and pins are not effective and can lead to damage of artwork and the gallery walls. FACT has limited equipment so bring what you require. FACT reserves the right to suggest the positions and spacing of exhibits. Please don’t be offended if we ask you to rearrange a show to make it more appealing to the public.
All items displayed must be listed in the Exhibition Inventory and images of the works must be provided with the Exhibition Details form. FACT reserves the right to refuse display of any items considered offensive or inappropriate.
- Take-Down: At the end of the exhibition, Exhibitors must dismantle their displays, remove any unsold artwork, and leave the space by the deadline set by the Gallery Manager, usually a Thursday by 12pm.
All hooks, nails and screws should be removed with care. Where needed, apply a small amount of filler to holes and FACT will sand them when dry. In the event of any paint being removed from a wall, the exhibitor will fix the damage or will pay for fixing before being refunded their deposit. FACT reserves the right to contact the exhibitor to come back and fix any remaining damage.
FACT will consider doing pack-up for a small fee if it is arranged prior to the exhibition.
- Security: The Gallery is monitored 24 hours per day, 7 days per week via closed-circuit TV. FACT staff will make every effort to ensure the security of exhibits when the gallery is open. After viewing hours, the gallery is locked and the alarm system enabled. Nonetheless, the exhibitor is responsible for insuring all items within the exhibition.
- Sales: All sales from the Gallery are handled by the Artefact Gallery Shop. It accepts cash, cheque, credit card and Eftpos payments. A commission + GST will be charged on all exhibited works sold. This will be deducted before final payment is made to the exhibitor, unless other arrangements are formally reached. The exhibitor will be paid by cheque or direct bank deposit, within 30 days of alll works being paid for and removed from the gallery.
All works exhibited must be originals and a majority of works exhibited (80% minimum) should be for sale and must be priced by the exhibitor. Please consult FACT Gallery Staff for advice on pricing.
- Openings: Launch events are optional but recommended for attracting public interest. Openings can take place during normal opening hours or at other times by arrangement.
Exhibitors are responsible for organising their openings, including arranging food, beverages and invitations. If you intend to serve any alcohol an alcohol licence must be applied for one month before the exhibition. Please contact Franklin District Council, 09 237 1300, for more information.
Exhibitors are responsible for clean-up and rubbish removal before leaving the premises. FACT recommends using paper or plastic glasses to decrease the risk of breakages and reduce clean-up. Exhibitors are encouraged to enlist the help of friends for set-up and openings.
Music is the choice of the exhibitor. Please bring your own playback and amplification equipment.

Deposit: $100.00. This must be made within two weeks of your proposal being accepted. The remaining fee must be made two weeks before the exhibition begins. The deposit will be held until the completion of the exhibition, after any damage has been repaired and the unsold artwork removed.
You must notify the gallery of any cancellation or changes in the exhibition layout at least eight weeks before exhibition start date. Failure to do so will result in your deposit being forfeited.

- production of exhibition labels and signs
- management of all sales, including sales report
The success of FACT’s promotional work depends upon the information provided by hirers. For this reason it is imperative that exhibitors submit full Exhibition Details(see enclosed form)at least two months before the exhibition opening.
FACT can provide a variety of additional services by agreement, such as:
- Expanded promotion: additional news releases, articles, advertising
- Design and printing of invitations, leaflets, etc.
- Exhibition Installation/take down management etc.
- Opening/launch management
Pricing for the above services expanded will be by negotiation and will reflect current staffing and supply costs for FACT and any subcontractor. Please enquire before booking.
