Hire Rates and Booking      

 

All rooms in Franklin: The Centre are hired on a self-catering basis, ie. hirers arrange their own furniture and equipment, supply their own catering and clean up after usage. This keeps costs affordable for community and commercial hirers.

Office Opening Hours & After Hours Hire
The booking office is open from:

Monday — Friday        9.30am — 4.30pm
Saturday                       9.30am — 2.30pm

(except for public holidays)

The centre is available for hire before and after office opening hours.  Please arrange with the
Booking Team for the automatic doors from the Edinburgh St car park to be open at the time you
require.

The rates and Conditions of Hire may be subject to change without notice.

Room Hire Payments
Payment for the 1st session of any booking is due immediately.
Payments for subsequent sessions are due 14 days before usage date or your booking will be cancelled.

Cancellation
Refund of hire charges will only be given if the cancellation is made 14 days prior to the hire date.  All cancellations received after this deadline will incur an administration fee of $20. There will be no refund given for cancellations made 24 hours prior to the booking date.  A refund will be processed, less the cancellation fee, on the following month for any bookings that have been paid for or part thereof.

Kitchenettes (Ground Floor and 1st Floor)
The ground floor kitchenette is at the corridor between the Edmund Hillary Room and the Allan Wilson Room.  The 1st floor kitchenette is in the open area outside the Douglas Wright Room.  These kitchenettes are designed for community usage for free.  There is a small supply of cups and utensils in each kitchenette.

Kitchen usage for Community Groups
The Growers Kitchen is available to all community groups free of charge and subject to availability.  Please inform the Booking Team if you wish to use this facility at the time of your booking, in order to gain access.  The kitchen is also available for hire for commercial bookings.

Catering
The room hire does not include coffee/tea or any form of catering.  We can recommend some local cafes which provide out catering such as Mocca Café, which is on site, or Café Berne etc.

Equipment
FACLT has some optional equipment for hire that would be ideal for business presentations, teaching or functions that are available on a first come first serve basis.  Bookings for equipment should be made together with your room booking.  The equipment is not available for hire outside of the premises.  Please refer to Optional Equipment Hire Rates for more details.

Piano
There is a piano available for choir, music lessons and dancing.  The piano is only to be used on the 1st floor of the building.  Piano tunings will have to be paid for by the hirer if moved or as required.

Tables & Chairs
If you require more tables and chairs than what is currently available in each room, please inform the Booking Team prior to your room hire.

Safety & First Aid
Room hirers are responsible for the safety of their attendees.  You will be required to familiarize yourself with Emergency Exits, meeting points and evacuation procedures of the building in case of an emergency.  A First Aid Kit is located in the kitchen, but would not be available after hours.  There is also a wheel chair available on site.

After Hours Entry / Exit to Franklin:The Centre
After hours entry is found to the rear of building from the Edinburgh St car park.  The doors are programmed to open according to an agreed time.  In the unlikely event the doors do not open, we ask that you wait five minutes prior to calling our emergency phone number. This is to allow for the variance in peoples individual time settings.  To Exit the building, press the red button located on the wall to the right hand side of the Exit doors.

Conditions of Room Hire

Please read the following Conditions of Room Hire carefully and keep them for future reference.  A signed Room/Equipment Hire & Booking Form indicates your agreement to abide by all Conditions of Room Hire at Franklin:The Centre.

1. The rooms must be left in the same condition than they were hired.  Floors must be swept and mopped/vacuumed if necessary, chairs and tables put away.  A clean-up charge will be levied if the facilities are left in unsatisfactory condition.

2. Tables and chairs are to be stacked as found in rooms.  Please do not stack tables and chairs against any movable walls or fire exits.  This applies to Stevenson, Franklin, Douglas Wright,  Leslie Comrie and Growers Kitchen on the 1st floor.

3. If food is served, please wipe tables and chairs clean before putting them away. 

4. All lights, equipment and heating/cooling controls must be switched off on leaving the rooms and building.  Please check that the toilet lights are switched off.  If lights, heating, air conditioning or any other equipment are found to be left switched on by hirer/s after usage, FACLT reserves the right to charge the hirer a minimum of $50.00.  It is FACLT’s policy to be environmentally conscious and we hope all hirers will respect and support this policy by conserving energy.

5. All doors and windows must be secured and closed on leaving the building.

6. All rubbish must be removed from the room and disposed of off the premises.

7. All reasonable precautions must be made to prevent damage to the equipment, rooms and building.

8. Property belonging to FACLT is to remain on the premises at all times.

9. Smoking, smoke machines, naked flames including incense and candles are STRICTLY prohibited in the building on any occasion.

10. All equipment, including electrical appliances are used at own risk.

11. You must be familiar with the fire evacuation procedures and inform all attendees of all exit points of the building at the start of your meeting.  In case of fire, please ensure all your attendees evacuate the building and are accounted for immediately.

12. Use of the premises for any public performance or event must conform to FACLT Health and Safety regulations and be conducted in full compliance with all applicable laws.

13. FACLT accepts no responsibility for loss or damage to property that may be brought to the centre by the hirer.  FACLT does not provide insurance cover for your property, including any property which may be left in any storage area.

14. A liquor license and the approval of the Trust must be obtained prior to alcohol being sold at The Centre e.g exhibition openings, meetings etc.  (Application forms are available from Franklin District Council—please apply four weeks prior to event  A copy of the Approved Licenses are to be submitted to the  Booking Team for our records.  ( If alcohol is being served and NOT sold, a license is not required.  However,  FACLT must be aware of your arrangements and your guest numbers).

15.The Growers Kitchen is a common area used by hirers.  It is important that everyone keeps the kitchen clean and tidy with floor swept and mopped/vacuumed if necessary, with all dishes washed and put away.  All decorative materials must be removed from the walls.  A clean up charge will be levied if the kitchen is left in an unsatisfactory condition or when rubbish or food is not removed from the room and disposed of off the premises. 

16.The kitchenettes are equipped with only a few glasses.  Please ensure you bring your own tea/coffee for your meetings.  All glasses must be washed, dried and put away in the cupboards after use.

17.The piano is only for use upstairs and the user is responsible for tuning the piano before and after use if the piano is moved into another room.

18. Any callouts that are made due to misuse of locks or rooms will be charged to hirer at $50 per callout.

19. All room hirers are requested to be respectful of others and be aware of noise levels. FACLT reserves the right to request from any hirer to lower any noise that is affecting other users in the building. FACLT also has the right to cancel all future bookings of a hirer after assessment of any complaints received by the users of The Centre due to noise levels or issues that arise from the hirer.

20. For all after hour hirers—The building must be vacated within 30 minutes of the hire period.  After this time security alarms will be turned on.  Hirers will be charged for call out fees accrued due to the activation of the alarm system.
